Presenter’s Agreement (Drafting)

A presenter contract is an important step in the process of engaging an artist.  The  presenters contract not only to confirm when and where the show will happen but also ensures there are no surprises when it comes to the details of cost, technical setup, liability, etc. Usually the artist is the one to prepare and send the contract. It is important for presenters to be aware of all the elements of a contract and understand everything that is mentioned under contract. When you receive the contract, look for the features outlined below and make sure each party’s responsibilities are made clear. Every item in a contract can be challenged and negotiated or renegotiated before signing the final contract.

Features of Presenter’s Agreement:

 

1. Venue, Date(s) and Performance Time(s):

The presenter’s contract must clearly specify the details regarding the venue, Date of performance and timings of performance.

 

2. Payment Methods:

The manner is in which artist is to be paid before and after the performance of contract shall be given due regards while drafting presenter’s contract.

 

3. Additional Services: 
The contract may include additions such as classes, pre/post show talks or receptions that the artists agrees to. These expectations, along with any associated pay, should be clearly laid out.

 

4. Insurance Coverage:
The presenter is responsible for adequate third party or public liability insurance. The artist may request a copy of the certificate showing that they are additionally insured.

 

5. Accommodation and Ground Transportation:
usually, artists arrange their own accommodation and transportation, but sometimes it is included as part of the presenter’s expense. Specify who will arrange and pay for accommodation and transport.

 

6. Technical Equipment and Staffing Requirements: 
What sound and lighting equipment is the presenter expected to provide? How much technical staff will be needed to set up, run rehearsal, run the show and take it all down? 

 

7. Provision of Special Items: 
The artists should specify any necessary items such as a piano, music stands, tables, etc.

 

8. Timing of Negotiation:
Establish deadlines for the conclusion of the negotiation process. 

 

9. Timing of Contract Delivery:
Clarify how long it will take the artist to deliver the contract to the presenter and vis versa.
